HRify: HR, Payroll & Projects

HR and payroll software for South African employers, in one system

HRify brings employee records, leave, timesheets, payroll, disciplinary cases, projects and client invoicing into one system. Its twenty-one modules share one employee record and one approval process. It is priced in rand and built for South African law.

HRify | Payroll
Payroll runs in HRify with gross, net and cost to company per period

Many South African employers run all six of these at once:

HR system Payroll engine Project tool Invoicing Disciplinary files in Word Approvals in email

These six systems do not share information with each other, so at month-end someone has to reconcile them by hand in a spreadsheet. HRify does all six with one login.

Who It Is For

Who uses HRify

HRify is usually brought in by the HR manager, the financial manager, or an owner who does the month-end reconciliation personally. This is what each group uses it for.

HR managers

Hiring, onboarding, leave, reviews and disciplinary cases are kept in one record per person. The statutory paperwork is generated from that record, so nobody has to fill in a template.

Financial managers

Run payroll in-house, check it against SARS rules before you submit, and invoice clients for the hours your team actually logged.

Managers

Leave, timesheets and claims arrive in one approval queue. Approve them in a batch at your desk, or one by one on your phone.

Employees

Apply for leave, log time, photograph a receipt, read a payslip and sign a policy, without emailing HR to ask how many leave days are left.

Inside The Product

These are screenshots of the live product, not mock-ups. The list below is the same menu your team would see.

Built For South Africa

Built for South African employment and tax law

International HR software is usually adapted for South Africa by adding a currency symbol and a tax field. HRify was built for South Africa from the start. That is why its leave calculations use the 36-month sick leave cycle, and why it tracks the CCMA deadlines on a disciplinary case.

SARS & payroll

Payroll that follows SARS rules

  • HRify produces the e@syFile import file for your tax certificates, and the bulk file for registering employees who do not have a tax number yet.
  • Before you export anything, HRify checks every employee against SARS’s own rules and tells you which employees would fail, and why.
  • HRify produces the monthly EMP201, the EMP501 at reconciliation, and IRP5 and IT3(a) certificates. It also calculates the Employment Tax Incentive (ETI) carry-forward for you.
  • Tax directives, severance, back pay, bursaries, company cars and share schemes are each calculated and taxed by HRify, so nobody has to remember to adjust them by hand.
  • Earnings and deductions are matched to the right SARS source codes. Anything HRify does not cover is listed up front, so nothing is silently left off a certificate.
  • HRify holds the tax tables for two tax years, taken from the Government Gazette. If a figure has not been published yet, payroll stops and does not guess.

HRify produces the file and the figures. You import the file into e@syFile and submit the return yourself.

BCEA

Leave and working hours that follow the Act

  • Every statutory leave type is included. Sick leave runs on a 36-month cycle counted from each employee’s own start date. It is not reset for the whole company on one date.
  • Carried-over leave expires when the Act says it does, and you cannot pay out more leave than section 20(11) allows.
  • When you approve a timesheet, HRify checks that week against the daily and weekly hour limits, the overtime limit, meal breaks, night work and the earnings threshold, and warns you before you approve.
  • Overtime is paid at 1.5×, and Sundays and public holidays at 2×. An overtime hour worked on a Sunday is paid at 2×, not 3.5×, because the two rates are not added together.
  • Minimum wage is checked against the gazetted figure for that period, not last year’s figure.
  • When someone leaves, the section 42 certificate of service and the UI-19 form are generated from their record.
POPIA

How HRify protects your employees’ personal information

  • ID, passport and tax numbers, bank account details, medical aid details and signatures are encrypted in the database. They are not just hidden behind a login.
  • You set how long each category of record is kept, and HRify will not let you choose a period shorter than the law allows: five years for tax records, three for BCEA records and four for COIDA records.
  • Deleting an employee anonymises their record. Their identity is removed, but the payroll and audit history is kept, because SARS still requires it.
  • If the law still requires a record to be kept, HRify refuses the deletion and tells you exactly which rule applies and until when.
  • When someone asks what information you hold about them, HRify builds the export for you and removes any other person’s details from shared records.
LRA & the CCMA

Disciplinary cases, with the CCMA deadlines tracked for you

  • The disciplinary process is built on the 2025 Code of Good Practice on Dismissal, which replaced Schedule 8 in September 2025.
  • You cannot record a dismissal against a case that never had a hearing.
  • The period for referring a dispute to the CCMA is counted from the correct date. For a dismissal on notice it starts when the notice period ends, an internal appeal restarts it, and a deadline that falls on a weekend moves to the next working day.
  • The deadline is thirty days for a dismissal and ninety days for an unfair labour practice. HRify chooses the right deadline based on the outcome of the case.
  • Hearing notices, outcome letters and dismissal letters are generated as signed PDFs from the case itself.
  • Retrenchment follows section 189A. The nine consultation topics are ticked off as you cover them, and the severance due is compared with what you are offering.
Mistakes It Will Not Let You Make

Six things HRify will stop you from doing

Each one prevents a penalty, a CCMA award or a SARS query.

  • You cannot file a SARS submission that has errors. HRify lists the employees with errors and the reason for each. You can still run a test export, so you can see the whole list before you fix anything.

  • You cannot run payroll in a new tax year until the new figures are confirmed. On 1 March, when the tax year starts, HRify shows the figures that have changed and waits for someone to confirm them.

  • You cannot pay a lump sum before the SARS directive arrives. HRify holds severance and certain other lump-sum payments until the tax directive arrives, so a payment never has to be corrected afterwards.

  • You cannot delete an employee record the law says you must keep. HRify tells you which records must still be kept and for how long.

  • Nobody can approve their own claim, payroll run or bank-detail change. This is built in. An administrator cannot switch it off.

  • You cannot issue the same invoice number twice. The VAT Act requires invoice numbers to be unique, so HRify refuses a duplicate.

Approvals

One approval process for everything that needs sign-off

Payroll, leave, claims, timesheets, severance, back pay, tax directives, salary advances, share schemes and bank-detail changes all go through the same approval process, which you set up once.

Your own approval chain for each module

You decide who approves what, in what order, and whether a step can be handed to someone else. For example, leave can need one approval and payroll three.

Nobody approves their own payment

For claims, payroll, severance, back pay, advances and bank-detail changes, the person who raised the request cannot approve it. The same applies to leave when it is paid out instead of taken.

Approvals continue when an approver is away

If an approver is on leave when something is submitted, HRify offers a stand-in at the same level who is not also away. Approvals keep moving while people are on holiday.

The original approver can still step in

When the original approver returns, they can overturn the decision or send it back a step, even though someone stood in for them.

Sending back is different from declining

Sending a request back for changes returns it to an earlier step and clears the later approvals. Declining it closes the request. Both need a reason, so the record shows why.

Problems are caught before final approval

Leave balances, the waiting period on a bank-detail change and self-approved timesheets are all checked before the final approval goes through. A problem stops the approval, so nothing has to be undone.

AI Assistant

Otto, an AI assistant that answers questions about your HR data

Otto is optional. You ask it a question in plain language instead of building a report. Otto reads your live HR data and answers questions about headcount, leave, timesheets, claims, payroll, hiring, training and pending approvals. Staff can ask about their own leave, payslips and claims without having to ask HR.

Otto can only answer questions

It cannot change your data, and it cannot approve, edit or delete anything.

Otto sees only what you are allowed to see

A manager who asks about leave gets answers about their own team, not the whole company. An employee gets answers about themselves only.

Otto is off until you switch it on

You decide whether to use it, which is a decision you make under POPIA. It is priced as a monthly allowance of questions, not per user. ID numbers, bank details, employment equity data and medical aid data are never sent to it.

The Mobile App

A mobile app for staff and managers

HRify has its own iOS and Android app. It has four tabs, and a centre button that opens the four things people do most: apply for leave, fill in a timesheet, submit a claim, or report an incident.

For your staff and managers

What they can do in the app

  • Apply for leave with a doctor’s note attached, fill in a week’s timesheet, or run a timer while working.
  • Photograph a receipt and submit the claim straight away.
  • Read a payslip with the full breakdown, hide the net pay with a tap, and download the PDF, for example for a bank or a landlord.
  • Look up a colleague, see the org chart, see company events and public holidays, read and sign a policy, give someone recognition, and answer a survey.
  • Report an incident, anonymously if they choose. They get a reference number, so they can follow up without identifying themselves.
  • Managers approve leave, timesheets and claims from one queue. They swipe right to approve, swipe left to decline, or approve everything at once.
Security on the device

How the app protects information on the phone

  • By default, the app opens only with Face ID or a fingerprint. On a phone without those, it asks for the phone’s passcode, so the app is still protected.
  • Screenshots and screen recording are blocked on the screens that show money, health, disciplinary or identity information, and the app is blurred in the app switcher.
  • Notifications do not show details. A notification says that a leave request needs review, but not whose it is or what it is for.
  • There are no push notifications for disciplinary and payroll matters, because even the title would reveal too much.
  • Downloaded payslips are removed from the phone after a set time, and when the person signs out.
  • Microsoft 365 sign-in and two-factor authentication are both supported.
Access & Privacy

Who can see what

An HR system holds the most sensitive information in a business. HRify is designed so that each person sees only the information they need.

Managers see only what they need

A manager viewing someone on their own team does not see that person’s ID number, bank details, date of birth, medical aid, employment equity data, performance rating or signature. These fields are not partly hidden: they are not sent to the manager’s screen at all. A manager does not need to know where someone banks to approve their leave.

One login for more than one employer

A person’s identity is kept separate from their employment, so the same person can be an administrator at their own company and a manager at a client. An external accountant or HR consultant needs only one account, not one for each client. When you remove their access, it stops immediately, not the next time they sign in.

Two-step verification you can require

You can require two-step verification for particular roles, so everyone with payroll access has to use it. It applies when they sign in, when they use Microsoft 365, and when their session renews.

Routine tasks run automatically

An increase dated for next month is applied before that payroll runs. Leave accrues monthly. HRify sends reminders for CCMA deadlines and for warnings that are about to expire, sends timesheet reminders on a Friday, and reminds clients who are late paying an invoice. None of it depends on someone remembering.

Where It Sits

How HRify compares with other kinds of software

HR suitesHR suites are good at employee records and HR processes. They do not offer South African payroll, disciplinary case handling or invoicing.
Payroll enginesPayroll engines are good at PAYE and statutory returns. They do not cover performance reviews, projects or CCMA cases.
Work management toolsWork management tools are good at task boards and project delivery. They do not cover employee records, payroll or compliance.
HRifyHRify covers all three with one login and one approval process. South African compliance is built into the product, not added on afterwards.

HRify has two applications that use the same data: a web app for administrators, managers and finance, and a mobile app for everyone else. Both show the same information at the same time.

Common Questions

Common questions about HRify

The things people ask before a demo. If yours is not here, ask us on WhatsApp.

Is HRify SARS compliant?

HRify runs payroll to SARS rules and produces the monthly EMP201 figures, the EMP501 at reconciliation, IRP5 and IT3(a) certificates and the e@syFile import file. Before you export, HRify checks every employee against SARS’s own rules and tells you which employees would fail. There is no SARS certification for payroll software, and HRify does not file for you: you import the file into e@syFile and submit the return yourself.

How much does HRify cost?

HRify is priced per employee, per month, in rand, excluding VAT. Starter is R52 with a minimum of R790 a month, Professional is R99 with a minimum of R1,490, and Business is R139 with a minimum of R2,290. Those rates apply to your first 100 employees. Each employee above 100 costs less, and above 300 employees we give you a quote based on your own numbers. Annual billing is 15% off and waives the implementation fee.

Does HRify handle leave under the BCEA?

Yes. Every statutory leave type is built in, with sick leave on a 36-month cycle counted from each employee’s own start date. Carried-over leave expires when the Act says it does, an employee is warned before they submit a request if they do not have enough leave, and every South African public holiday is used in the calculation.

Is payroll part of HRify or a separate product?

Payroll is part of HRify from the Professional tier up. It reads approved leave, timesheets and claims from the same employee record. Because HR and payroll are one system, nothing has to be exported from one to the other or reconciled between them.

Is there an HRify mobile app?

Yes, an iOS and Android app. Staff apply for leave, log time, photograph a receipt for a claim, read payslips and sign policies. Managers approve leave, timesheets and claims from one queue. The app opens only with Face ID or a fingerprint, and screenshots are blocked on the screens that show money or identity information.

Who is HRify for?

HRify is for South African employers, small and large, who want HR, payroll, and often projects and client invoicing, under one login. Pricing is per employee, with a monthly minimum for small teams, a lower rate for each employee above 100, and a quote based on your own numbers above 300. HRify is usually brought in by the HR manager, the financial manager, or an owner who does the month-end reconciliation personally.

Can HRify run disciplinary cases and CCMA deadlines?

Yes. Industrial relations is included from the Business tier. Cases, warnings, hearings and appeals each have the paperwork they need, the CCMA referral period is counted from the correct date, and hearing, outcome and dismissal letters are generated as signed PDFs from the case.

Can we see HRify on our own payroll before deciding?

Yes. Bring the figures for a payroll month you have already run, and we will show you HRify checking each of your employees against SARS rules. Request a demo and we will set it up.
